Overview

Reach out to UI/UX CoP leads for their best practices and process for setting talks with speakers.

Action Items

  • Meet with UI/UX CoP leads for their setup of templates/guides and process
    • Prep work for the speaker
      - Receiving questions from the community
      - Announcing the speaker to the community
      - Thank you response to the speaker
      - Sending questions to the speaker before the event
    • Discuss managing the actual speaking event practices
      - Length of talk

  • Research
    • Digital engagement strategies
    • Virtual Event Guides

Webinar Format

Details

  • Create an issue similar to what the UI/UX community of practice does. A great example: This is a previous speaker from not too long ago.
  • It contains:
    • Overview
    • Action Items
    • Resources/Instructions
      - Slack announcement to be used
      - link to the speaker; LinkedIn, personal website
    • Speaker Bio
    • Title of event (the speaker might provide title)

Event Registration

  • track amount attendees to start quantifying attendance at speaker events.

Question and answer

  • collect the majority of questions prior to the event
    • create an issue on the engineering board for the event to collect questions in the comments
    • a co-lead collates the questions into a list of non-duplicated questions
    • send questions to guest speakers within two weeks of the event
  • live audience Q/A

Live polling

  • if needed by the speaker

Recorded content

  • get consent
  • record the event for availability later, and allow the slide/presentation for access later.
  • closed captioning
  • condense resources to wiki - list of speakers ( create if not created)

Feedback surveys

  • get feedback from engineers about speaking event

Inform/Market/Communications

  • Send issue# to the Engineering Slack channel to inform and ask folks to write their own questions in the comments, or they could reply to the thread in slack
  • Send reminders about the event

Met with UI-UX CoP Co-Leads to talk about practices & ask questions. Talk about templates, resources for GitHub issues, slack/email templates, process of contact with potential speaker, and selecting types of speakers.
