How to use: Use the tabs to explore all four interactive modules. Risk Dashboard — move the three phase sliders independently to simulate how approval timing cascades into rework costs across 14 downstream teams; the Master Override slider applies a global delay to all three phases simultaneously. Budget Tracker — set a top-level budget target in each summary card, then enter budget amounts and quarterly actuals in the table; totals and percentages calculate live. Music Library — all fields in both the Main Show Cue Sheet and BGM Cue Sheet are editable; click any cell to enter or update cue data, timing, composer, publisher, and notes; use the dropdown to set licensing type per cue. Delivery Specs — review format and platform requirements by team; all Delivery Platform fields are editable; Status indicators update automatically based on the phase approval timing set in the Risk Dashboard.

What This Is

After 10,000 live shows across concert tours, projection-mapped cruise ship productions, and synchronized drone performances, I built Project Harmony OS™ because I lived the problem it solves. It is my vision of what a music and creative production operating system should look like — purpose-built for the governance, approvals, versioning, delivery, and downstream handoffs that define large-scale themed entertainment.

This prototype is a proof of concept designed and built independently for producers, composers, and creative teams working in themed entertainment — without dedicated resources, budget, or organizational authority. It demonstrates the system architecture, workflow logic, and production governance framework that a fully developed platform would implement.

Whether the music lead is an in-house Music Producer or an external Composer/Supervisor engaged as a vendor, the scenario this prototype simulates is the same: they are the hub for every approval, every delivery format, and every downstream music handoff — managing it all without a standard process, versioning infrastructure, file delivery governance, or visibility tools. Project Harmony OS is the workflow that changes that, regardless of how the production is organized.

Building this also reflects something personal: I am actively discovering ways to use AI to do what I have always wished someone would do for me. The project management burden on a large-scale, zero-failure music production — the emails, the version tracking, the reformatting, the chasing approvals — has always pulled me away from the work I actually do best. Project Harmony OS is my first real answer to that. The goal is not to automate my music creation process. It is to protect it.

The Problem It Addresses

In themed entertainment — theme parks, cruise lines, arena shows, and large-scale immersive productions — music and audio are the primary timing and synchronization system across show control, safety validation, technical execution, and live performance. When a creative decision changes something in the music or audio — and in large-scale production, that happens constantly — every downstream team that depends on it is affected, and that impact moves invisibly until it becomes a production crisis.

In addition to being the creative music lead on a production, the Music Producer or Composer/Supervisor is also the hub for every music approval, every delivery format, and every downstream music handoff — managing it all without a standard process, versioning infrastructure, file delivery governance, or visibility tools. In my experience, this is what I often run into:

  • No standard approval distribution — varies by project, communicated verbally or not at all
  • No formal versioning — as Music Producer, I manually "own" all updates and redistribution to every downstream team
  • No gatekeeping on notes — any stakeholder with content access can give direction at any time, ungated
  • Multiple delivery formats required per recipient — manually reformatted and resent each time, without administrative support
  • Late-stage approval changes cascade invisibly across multiple creative and operational teams including show control, lighting, video, drone choreography, and safety validation — with no system to surface the risk before it becomes a production crisis
  • Post-production routinely begins late because approval phases bleed into each other without governance

The result: Music Producers and Composers/Supervisors function more as email administrators and communications routers as the project progresses — instead of as the creative music lead they were hired to be. Project Harmony OS gives visibility and organization to the voluminous music development tasks that the greater creative team depends on, so every downstream partner can stay in step with the music production process with less friction.

Four Modules — Interactive

1. Risk Dashboard

Three independent phase approval sliders — Pre-Production (W1–W4), Production (W5–W15), and Post-Production (W16–W30) — plus a Master Override that applies a global delay to all three phases simultaneously. Each slider simulates what happens when an approval gate arrives late in that phase.

The dashboard shows in real time: which approval gates are affected, how the full 30-week production timeline shifts, how many of the 14 downstream teams are put at risk, and the cumulative rework day cost per team per phase. Three side panels update live alongside the sliders:

  • Version tracker — shows the current music version chain and flags an unconfirmed version whenever a delay is detected
  • Notes intake log — surfaces ungated notes that arrive without version context when approvals are late
  • Contract status — shows arranger, orchestrator, vocalist, and studio booking status across the production

Downstream Team Cascade shows phase-by-phase impact across 14 teams, each with a selectable deliverable dropdown:

  • Executive Comms · Executive Leadership · Creative Leadership
  • Lighting · Video / Media Production · VO Director / Voice Supervisor
  • Live Audio Team · Drones · Pyro · Stage Management
  • Live Cast Rehearsal Tracks · Live Performers / Show Cast · Specialty Systems Programming · VO Artists

Status in the cascade table is linked directly to the Delivery Specs tab — changes to slider timing cascade into Delivery Specs Status indicators in real time.

2. Budget Tracker

Three top-level summary cards — Music Producer Spend, Music Production Labor Spend, and Total Project Spend — each with an editable budget target field. Set your total budget in the card, then fill in the category table below; the progress bar and percentage remaining update live as actuals are entered. Three collapsible weekly breakdown sections: Pre-Production (W1–W4), Production (W5–W15), and Post-Production (W16–W30).

Budget categories:

  • Music Producer Fee
  • Travel · Music Prep (recording & live parts)
  • Recording (rhythm / orchestra / vocals) · Recording Engineering / Post Production / Venue Mix
  • Arranger / Orchestrator Fees · Songwriter Fee · Principal Instrumentalists · Featured / Guest Artist Fees
  • Show VO 1 · Show VO 2 · Demo Recording · Live Band / Singer Rehearsals
  • Music Licensing Fees (Streaming) · Sync Licensing / Compass Fees

3. Music Library

Two sub-tabs — Main Show Cue Sheet and BGM Cue Sheet — toggled via pill buttons within the tab. Both sheets are fully editable: click any cell to enter or update information. The Production, Premiere, and Music Producer fields in the meta bar are also editable inline.

Main Show Cue Sheet — full show music rundown with track number, section/location, song title, timing, music description, use type (BI/BV/VI/VV dropdown), cue number, composer/arranger, publisher, duration, and notes.

BGM Cue Sheet — two event sections: Event Pre-Show and Event Post-Show. Each section lists cue title, artist/version, composer / PRO affiliation / ownership splits, use type (BI/BV/VI/VV dropdown), publisher, duration, and notes. Section Total duration is editable.

4. Delivery Specs

Music deliverables by entity — format requirements, delivery platform, deadlines, and live status — organized across three groups. Status indicators update automatically based on the phase approval timing set in the Risk Dashboard. All Delivery Platform fields are editable.

  • Group 1 — Executive Approvers: Show Director, Creative Director, Executive Producer, VP Creative, Executive Leadership / VIP Communications, Legal / Business Affairs, Script & Story Team. Status linked to phase gate sliders.
  • Group 2 — Production Team Distribution: Executive Comms, Executive Leadership, Creative Leadership, Lighting, Video / Media Production, VO Director / Voice Supervisor. Status linked to downstream cascade.
  • Group 3 — Live Audio Team: Live Audio Team, Pyro, Stage Management, Live Cast Rehearsal Tracks, Specialty Systems Programming, VO Artists. Technical format specifications including multichannel WAV with TC, stereo WAV with FSK pre-roll, click/no-click, glitched/no-glitch, beeps/no-beeps variants.

Module 5 — Roadmap

Approval & Distribution Hub: One upload triggers automatic distribution to all approvers in the correct format per recipient. Approval status tracked in real time. Notes aggregated centrally. Once approved, one click distributes to all downstream teams in their required formats with timestamped confirmation.

Three-Phase Production Structure

Phase Weeks Scope
Pre-Production W1–W4 Blue Sky through demo approval, licensing, arranger contracts, budget finalization, show VO scheduling. Approval gate: Show Director + Creative Director + Senior Leadership.

About This Project

This prototype was designed and built independently by me as a proof of concept for producers, composers, and creative teams working in themed entertainment — without dedicated resources, budget, or organizational authority. It demonstrates the system architecture, workflow logic, and production governance framework that a fully developed platform would implement.

It is grounded in direct operational experience across some of the most technically complex themed entertainment productions ever staged — including the first projection-mapped concert in cruise line history, a synchronized 1,600-drone performance, and major global launch events integrating live performance, multimedia content, pyrotechnics, and safety validation systems.
