Subgroup protocol (still under review and willing to be modified):

  • Make sure the outstanding questions are clearly formulated and understood.
  • Review the Kanban project board pre-created by the co-Chairs. The board contains one GitHub issue per outstanding question (you can view only the issues related to your sub-group by filtering the labels for your sub-group). The GitHub issue associated with a question should be used to consistently provide updates toward answering that question.
  • Modify the issue related to any question that has been reformulated as part of step 1. Reach out to Marie ([email protected]) for any questions or help with the GitHub project board.
  • Review your sub-group specific Google Drive folder here. This is where you should keep all relevant documents related to your sub-group’s effort.
  • Search for answers to the outstanding questions through three approaches (in parallel).
    a. Discussions amongst the subgroup members. Make a copy of this spreadsheet template in your sub-group folder to document the discussion and major outcomes or resources that are mentioned or referenced during these discussions.
    b. Literature review. Make a copy of this spreadsheet template in your sub-group folder to document your search approach and results (keywords, search logic, platform used for search).
    c. LLM prompting. Interrogate LLMs about the outstanding questions. Make a copy of this template spreadsheet to document prompts and responses from LLMs.
    d. Community outreach. Kindly update /create new Github issues and inform the chair when planning for community outreach. Reach out to relevant groups, task forces, community members, etc. who can help answer your question. The outreach could be a direct contact (email), a survey, or else. Make sure to document the approach and outcome e.g., in a Google doc kept in your sub-group folder.
    e. If sending a survey (For now LimeSurvey), Kindly discuss within subgroups, inform them and share the questions. Potentially a few sub-groups can combine the survey and send it together for the target audience. They may require some cooperation.
    f. Also, results of the survey can be used in other sub-groups, if fit for purpose.
  • When all the approaches have been completed, summarize your findings into an outcomes Google document stored in your sub-group folder on Google Drive, where you provide clear, actionable answers to each of your outstanding questions with links to sources suggesting them.
  • Share the document with the broader group for review and input: send an email to the whole group and trigger a discussion about this question in the next task force meeting.
  • Finalize the outcomes document based on feedback and comments.
